OCSSDI Email/Mailing List Accounts

Certain board members and committee members may be assigned an email account [mailboxname]@ocssdi.org. There are several options on how the accounts can be set up, as described below. Depending on how you want to do it, please ask the webmaster to configure the account to your needs.

Permanent accounts are set up for some officers and the account will be passed to the next person taking that office. Therefore, please keep the use to council business, so that friends email (or SPAM) don't get passed on the the next person in that office. Anyone who has a need for an ocssdi account please contact the webmaster for setup.

We also have the ability to set up OCSSDI mailing lists that can be subscribed to on the ocssdi account, and we also have some off-site mailing lists. Off-site lists are a little easier to manage with more features, but easier to manage security and membership control.

Types of Email Accounts

POP3
This is a regular email account that can be accessed with a standard mail reader, or from the web mail interface. A POP3 account can also be set up as a forwarding account to send a copy to another email account, either on or off-site. To set up a POP3 account in your email reader, follow this link to the settings.
Web Mail
Exactly the same as above, but you only have to check from a web browser.
Forwarding Alias
An alias on the ocssdi.org mail server that just sends any inbound email to another ocssdi.org or any other off-site account. Does not store mail, and cannot be used to reply from. (example: someone@ocssdi.org forwards all incoming mail to you@yourISP.com ). Can be set up to forward to multiple accounts for a committee. (example: archaeology@ocssdi.org can be set to forward to john@msn.com, amy@aol.com, and anyone@anywhere.com).
AutoResponder
A simple email address that is never checked, but just automatically responds with a preset email answer.  info@ocssdi.org is set up to automatically sends some basic info and contacts for the council.

Mailing Lists

We have the ability to set up several types of mailing lists as well. A mailing list is a subscribable list that someone can join. there are several options on their setup as follows:

Newsletter
A  newsletter style mailing list is one that is subscribed to by a user, but is a one-way outbound list in which mail is only sent from the list owner. A list has been set up called faceplate@ocssdi.org in which we will mail a copy of the electronic form of the newsletter attached. Mail sent from anyone but the list maintainer will bounce.
Subscriber List
A list which anyone can subscribe and then post email to the list. Emails sent to the list are distributed to everyone on the list.
Moderated List
A moderated list is a subscriber list, but all messages are approved by the moderator(s) before being distributed to the list members. Normally this is done not to censor, but to keep the list on topic and prevent spam from getting out to list members.
Digest vs. Individual Email Formats
Subscriber and moderated lists normally have two versions. A standard version in which emails are individually distributed as received, and a digest version in which all postings for a day are combined into only one "digest" email to limit the number of email received.
  • Digest lists are more difficult to reply to since they contain many subjects. When replying to a digest format list, please remove all but significant portions of quoted text, and change the subject line to reflect your subject of reply.
  • Individual lists are easier to reply to, since they will only have the subject line of the original email. Remember, that a reply goes not only to the sender, but everyone on the list. Change the reply to address for individual person to person replies.
List Email address
Remember, you can only post to a list from the SAME address in which you joined. If you have multiple email accounts, you will need to either reply from the one in which you are a member, or join under both addresses and get two copies of each email (one to each account).

POP3 Mail settings:

  • Login: the account name before the @ sign.
  • Password: As assigned when setup (you can request it be changed)
  • POP3 or received mail server: "ocssdi.org".
  • SMTP or outgoing mail server: It is better to use the same outgoing mail server name you use for your ISP's mail. You can use "mail.ocssdi.org", but there is a 15 minute timer to prevent it from being used for SPAM. If you haven't checked incoming mail within 15 minutes, you won't be able to send outgoing, until you again check incoming. doing a "send/receive" twice will normally reset the timer.
